At CRM HUB 360, we are committed to safeguarding the privacy and security of our users’ personal information. This Privacy Policy outlines how we collect, use, disclose, and protect the information gathered through our CRM platform. We collect various types of information to provide and improve our services. CRM HUB 360 uses collected information to deliver personalized user experiences, improve our services, and communicate important updates. We do not sell, lease, or otherwise disclose personal information to third parties unless required by law or with explicit user consent. 

Part I – Data CRM Hub 360 Collects and Controls

CRM HUB 360 only collects the information that we need. Some of that is details that you give us when you register for an account, enlist for an event, request customer support, or purchase something from us. We keep your name and contact details, but we don’t store credit card numbers. 

When you visit our websites or use our product or software, we automatically collect some basic details like how you got to the site, where you navigated, and what features and products you use. We use these details to improve our websites and products and to drive new product evolution. 

Sometimes, we receive information indirectly. Suppose you ask about our products through one of our referral programs or sign in for one of our products through an authentication service provider. In that case, they’ll pass on your contact details to us. We’ll use that data to complete the request that you made.  

Information You Provide Us
  1.  Account Register: When you register for an account to access one or more of our services, we ask for details like your name, contact number, email address, company name, and country to complete the account registration process. You’ll also be required to choose a unique username and password to access the created account. You may also provide us with more data, such as your photo, time zone and language, but we don’t require that information to register for an account.

  2. Submitting a form: We record details that you submit when you (i) register for any event, (ii) subscribe to our newsletter or mailing list, (iii) submit a form to download any product, service, or other materials, (iv) participate in contests or respond to surveys, or (v) submit a form to ask customer support, contact a quote or to contact CRM HUB 360 for any other purpose.

  3. Payment process: When you purchase something from us, we request you to provide your name, contact details, credit card details or other payment account information. While submitting your card information, we keep the name and address of the cardholder, the expiration date, and the credit card number. For quick processing of future payments, if you give us your permission, we may store your credit card information or other information in an encrypted format on the secure servers of our Payment Gateway Services.

  4. Testimonials: When you allow us to post testimonials about our products and services on websites, we may have your name and other personal details in the testimonial. You will be provided with an option to review and agree on the testimonial before we post it. 

  5. Interactions with CRM HUB 360: We may register, analyze, and use your interactions with us, including email, phone, and chat discussions or conversations with our sales and customer support experts, to improve our interactions with you and other customers.
Information We Collect Automatically
  1. Browsers, devices, and servers’ information: When you visit our CRM HUB 360 websites, we gather the information that web browsers, mobile devices and servers make available, such as protocol address, browser type, language preference, time zone, referring URL, date and access time, operating system, device manufacturer and network information. We include these in our record files to understand more about visitors to our websites. 

  2. Information through Cookies: We utilize temporary and permanent cookies to recognize users of our services and to improve user experience. We implant unique identifiers in our downloadable products to track the use of the products. We also use cookies, tags, scripts, and other equivalent technologies to identify visitors, track navigation on the website, gather demographic information about visitors and users, understand email campaign effects, and target visitor and user engagement by tracking your actions on our websites. We mainly use first-party cookies and do not use third-party cookies or third-party tracking technologies on our websites for non-essential or intrusive tracking. We also use first-party Local Storage Objects (LSOs) to store content data and preferences to provide certain elements.

  3. Application logs and mobile analytics information: We collect information about your use of our products and mobile applications from application logs and usage analytics tools and use it to know how your use and needs can enhance our products. This information includes clicks, scrolls, segments accessed, access time and frequency, errors generated, performance data, storage utilized, settings and configurations, and devices used to access and device locations. 
Personal and Sensitive Data Collection

Our application CRM HUB 360 collects call data from the default dialler app, such as call logs, call history, call duration, caller ID, and any other call contents we may need. We store this collected data in our database and use it to train sales staff and to analyze staff/team performance, identify sales metrics, trends, customer engagement, needs, and market trends, and improve our sales activities and customer service. We strictly follow the guidelines of data security and do not transfer, sell, leak any call data collected with any internal, external, or third-party or individual or site for any reason.

Information That We Collect from Third Parties
  1. Signups using authentication service providers: You can log in to our Services using federated authentication service providers such as LinkedIn, Microsoft, and Google. These services will access your identity and give you the chance to share specific personal information with us, such as your name and email address.

  2. Referrals: If someone has referred any of our products to you through any of our referral programs, that person may have provided us with your name, email address, and other personal information. You can remove your details from our database by contacting us. If you provide us details about another person, or if someone gives us your information, we will only use that data for the precise reason for which it was provided to us.

  3. Information from our partners and service providers: If you contact any of our partners or express interest in any of our products or services, the partner may pass your name, company name, email address, and other information to us. If you register or attend an event that is sponsored by us, the event organizer may transmit your information to us. We also receive data about you from review sites if you comment on any review of our products and services and from third-party service providers that we employ for marketing our products and services. 

  4. Information from social media sites and other public sources: When you give feedback or reviews about our products or interact with us on review sites, marketplaces, or social media sites such as Facebook, LinkedIn, Twitter, and Instagram through posts, questions, comments,  and other interactions, we may collect publicly available information, including profile details, to allow us to connect with you, enhance our products, better understand user reactions and issues, or to reproduce and post your feedback on our websites. Once collected, this data may remain with us even if you delete it from these sites. CRM HUB 360 may also add and update information about you from other publicly available sources.

Part 2: Purposes For Using Your Information

To connect and communicate with you about products that you have used and that you have registered for, changes to this Privacy Policy, and changes to the Terms of Service. 

To keep you notified of new products, upcoming events, offers, services, promotions, and other information that will be of interest to you. 

To ask you to participate in surveys or to request feedback on our products and services. 

To set up and keep your account and to do all things required for delivering our services, such as facilitating collaboration, providing website and mail hosting, and backing up and restoring your data. 

To understand how you use our product, to monitor and control problems, and to enhance our products and services. 

To deliver customer support and to analyze and enrich our cooperation with customers. 

To detect fraudulent transactions and prevent other illegal activities, to report spam, and to defend the rights and interests of users, third parties and the public. 

To update and analyze our records, find new customers, and give products and services that may be of interest to you. 

To train staff and to analyze performance, identify sales metrics, trends, customer engagement, needs, and market trends, and improve our sales activities and customer service 

To analyze trends and track visitor navigations on our websites to understand what users are looking for and to better help them. 

To monitor, manage and improve marketing campaigns and make recommendations relevant to the user. 

Legal Bases for Collecting and Using Information

Legal processing bases applicable to CRM HUB 360: If you are an individual, our legal basis for information collection and use relies on the personal information concerned and the context in which we collect it. Most of our information processing activities are typically based on (i) contractual necessity, (ii) legitimate interests of HUB350 CRM or a third party that are not overridden by your data protection interests, or (iii) your consent. Sometimes, we may require collecting your information legally or may need your details to protect your vital interests. 

Withdrawal of consent: We rely on your consent as the legal basis, you have the right to withdraw at any time, but it will not affect any process that has already taken place. 

Legitimate interests notice: Where we depend on legitimate interests as the legal basis, and those interests are not specified above, we will undoubtedly explain to you what those interests are at the time that we collect your details. 

Your Choice in Information Use

Opt out of non-essential electronic communications: You have the option to unsubscribe from newsletters and non-essential messages by using the ‘unsubscribe’ function present in all such communications. Essential notices and emails, such as account notifications (password changes, renewal reminders, etc.), security incident alerts, security and privacy updates, and crucial transactional and payment-related emails, will continue to be sent. 

Disable cookies: It is possible to disable browser cookies before visiting our websites but be aware that doing so may limit your ability to use certain features of the websites effectively. 

Optional information: You can choose not to provide optional profile information, including your photo. Additionally, you have the flexibility to delete or modify your optional profile information. Filling in non-mandatory fields in any form linked to our websites is entirely optional.

Your choice in information use

All CRM HUB 360 group entities listed here have access to the information covered in Part I. Personal information is not sold, and sharing is limited to the ways described in this Privacy Policy, with parties who adhere to appropriate confidentiality and security measures. 

Employees and independent contractors: Only employees and independent contractors of relevant CRM HUB 360 group entities have access to the information covered in Part I on a need-to-know basis. Compliance with this Privacy Policy is mandatory for all employees and independent contractors. 

Third-party service providers: Personal information and aggregated or de-identified information may be shared with third-party service providers engaged by CRM HUB 360, such as marketing and advertising partners, event organizers, web analytics providers, and payment processors. These providers are authorized to use your personal information only as necessary to deliver services to us. 

Domain registrars: When you register a domain through CRM HUB 360 from domain name registrars, your name and contact information (physical address, email address, and phone number) are shared with them, adhering to ICANN domain registration rules. 

Reselling partners: Personal information may be shared with authorized reselling partners in your region, specifically for contacting you about products you’ve downloaded or services you’ve signed up for. An opt-out option will be provided for continued collaboration with a partner. 

Marketplace application developers: If you install or purchase any application developed using CRM HUB 360’s APIs on the online marketplace, your name and email address will be shared with the application developer for direct engagement. CRM HUB 360 does not control the use of your personal information by developers, and it is subject to their privacy policies.

Part 3: General

Children’s Personal Information

Our products and services are not intended for individuals under 16. CRM HUB 360 does not knowingly collect personal information from children under 16 years of age for its own purposes. Should we become aware that a child under 16 has provided personal information, we will take the necessary steps to delete such information. If you believe a child under 16 has submitted personal information, please contact us with details, and we will promptly delete the information. However, when using our products, you may collect information about individuals who could be children. If you process information related to children, you acknowledge responsibility for complying with applicable laws and regulations governing the protection of such personal information. 

Security of Your Information

At CRM HUB 360, we prioritize data security. We are certified for industry standards (referenced here) and have implemented administrative, technical, and physical safeguards to prevent unauthorized access, use, modification, disclosure, or destruction of entrusted information. If you have security concerns, we encourage you to review our Security Policy or contact us with any questions.

Data Protection Officer

Locations and International Transfers

We share personal information and service data within the CRM HUB 360 Group and with third parties engaged by CRM HUB 360. By accessing our products or providing personal information or service data, you understand the processing, transfer, and storage of your information within India and other countries where CRM HUB 360 operates 

Data Processing Addendum

To assist with your data protection obligations, we are ready to sign a Data Processing Addendum (DPA). Request a DPA from CRM HUB 360 by completing this form, and we will provide it for your signature. 

Automation and Artificial Intelligence

To enhance productivity and predictive capabilities, we employ technologies like regex parsing, template matching, artificial intelligence, and machine learning. Your service data is used for improving algorithm accuracy (anonymized crops) and developing organization-specific models. We prioritize privacy and confidentiality, utilizing our organization’s data along with external sources. 

Do Not Track (DNT) Requests

While some browsers support ‘Do Not Track’ (DNT) features, we currently do not take action in response to these signals. 

External Links, Blogs, and Forums

Pages on our websites may contain links to external sites with separate privacy policies. Exercise caution in sharing personal information on blogs and forums, as the information provided may be used for unsolicited contact. For removal requests, contact us. 

Social Media Widgets

Our websites may include social media widgets (e.g., Facebook “like” buttons) collecting information governed by the respective companies’ privacy policies. 

Legal Disclosures

We may disclose personal information and service data to comply with legal obligations, enforce our rights, investigate illegal activities, or protect user safety. 

Business Transfers

In the event of a business sale, acquisition, or merger, we ensure the acquiring entity honors our commitments. You will be notified of any ownership changes affecting your personal information and service data.

We conduct periodic reviews to ensure adherence to this Privacy Policy. If you have concerns, contact us. We will address concerns promptly, coordinating with regulatory authorities if needed. 

Notification of Changes

We may modify the Privacy Policy, notifying you through service announcements or emails. Significant changes affecting your rights will provide at least 30 days‘ notice via email. Your continued use after changes constitutes agreement. Check back periodically for updates.
